AbsolutEmails Privacy Notice

Nomad Innovative Technologies LLC operates AbsolutEmails ("AE"). This notice describes information handled through AE's website and dealership application. For dealership customer records, the dealership generally decides what to collect and how to use it, and AE processes it to provide the service. We also manage our own account, security, support and agreement records.
1. Information and sources
We receive account and dealership details such as names, business contact information, roles, location, department and settings; customer contact and address records; authorized business insurance documents; follow-ups and notes; signatures, templates, vehicle and quote/payment-option records; email content, recipients, attachments and delivery history; support communications; and contract/signature records. Users, their dealerships, authorized collaborators and submitted business forms supply this information. Information may also come from user-requested vehicle/OEM sources.
Normal operation produces technical information such as IP addresses or their hashes, browser information, session activity, timestamps, security events and agreement versions accepted. Passwords are stored as hashes; configured mail credentials require protected storage for delivery. Do not submit the prohibited sensitive records listed in the EULA.
2. Why we use information
We use information to authenticate users; enforce customer, location and department permissions; manage templates and contacts; prepare quotes and other documents; send user-requested communications; maintain history and follow-ups; provide support; record agreements; secure and troubleshoot the service; back up records; prevent abuse; and meet legal obligations. Contract signing in this workflow does not itself charge a payment method.
3. Who can receive information
Authorized users in a location and department share its contact book. Customer masters may explicitly share that book with other stores in the same verified dealer group and department, including permission to edit. Quote and other team sharing use their own controls. Personal follow-ups and sent-email history are not automatically exposed by contact-book sharing. Administrators and authorized support personnel can access information as needed to administer and support AE.
Information is transmitted to recipients you choose and to providers needed for hosting, infrastructure, delivery, security, backup or support. We may disclose information where legally required or necessary to protect rights and safety, or as part of a business transfer subject to appropriate safeguards. We do not sell customer records or use them for unrelated third-party behavioral advertising.
4. Links and third parties
Published template images, intentionally shared pages and delivered attachments may be accessible to a person with their link. Recipients can retain sent messages and downloaded files after access is revoked. Private signing links grant access to their specific agreement; protect them. Linked websites, OEM resources and configured email services operate under their own notices. Revoking app access cannot retrieve copies already lawfully received.
5. Cookies and browser storage
AE uses essential cookies and sessions for authentication, security and application state. Some tools keep a browser-local working copy so unfinished work can be restored. Use a protected device and sign out on shared computers. Browser settings can clear this storage; blocking essential cookies may prevent sign-in. AE does not use customer records for cross-context behavioral advertising, and does not change that practice based on a browser's Do Not Track setting.
6. Retention and security
Records are retained as needed to provide the service, support dealership records, resolve disputes, maintain security, satisfy legal obligations and enforce agreements. Retention depends on the record's purpose and applicable requirements; removing a login does not automatically erase dealership history, signed agreements, sent communications or backups. Backups may retain information until their normal replacement cycle. We use access restrictions and other safeguards, but no system is perfectly secure.
7. Requests and choices
Contact your dealership for requests about information it collected or entered. You can also contact support@absolutemails.com for access, correction, deletion or other privacy requests. We may verify identity and authority and route a request to the responsible dealership. Depending on applicable law, rights may include access, correction, deletion, portability, objection or restriction, and protection against unlawful discrimination for exercising rights. Exceptions may apply to records needed for legal, security or other permitted purposes. Acknowledging this notice does not waive those rights.
8. Audience and changes
AE is a business service intended for authorized adult dealership personnel, not children. Services and records are operated in the United States. We will identify updated notices with a new version and effective date and may request renewed acknowledgement for material changes.
